View and manage orders

Where to find orders placed through the assistant, what each order shows, statuses, WooCommerce sync status, and a simple routine to process them.

Open it

  • Web: Sales > Orders. It lists orders ("Orders created by your AI assistant will appear here").
  • Mobile: Orders tab; tap an order for details.

What an order shows

Order details: Status, Customer Information (name, contact, address), Items with quantities, Total, Notes and the created date. When WooCommerce is connected, an Integrations badge shows the sync status for that order.

Mobile statuses are Pending, Submitted and Cancelled. Orders placed by the assistant are recorded as submitted.

Get notified

BaTimo does not send a notification or webhook when an order is placed. Do one of the following:

  • Check Orders several times a day (the mobile Orders tab is quickest).
  • Turn on New Lead notifications: the customer is also saved as a lead, so you are alerted when they give their details.
  • Watch the Inbox for the order confirmation message.

A simple order routine

  1. Open the new order and read the customer details and notes.
  2. Open the conversation (Inbox) if you need context.
  3. Contact the customer: confirm the order, share payment details and delivery estimate. Turn the assistant off for that conversation if you want to reply yourself.
  4. Fulfil and deliver.
  5. Keep your own record (for example a spreadsheet) of paid and delivered orders; BaTimo does not track payment or delivery.

Tips

  • Put a standard next-step message in your policies so every customer gets the same instructions.
  • Add the customer's preferred delivery date in Notes by asking the assistant to collect it.

Troubleshooting

  • No orders appear: check Enable Products and that the assistant actually submitted (test it). On mobile the empty screen offers Enable products.
  • A customer says they ordered but nothing is listed: open their conversation; the order may be a request that was not confirmed yet.

Limitations

  • The Console and app display orders; they do not change order status, take payment or print invoices.
