Playbook: AI-agent follow-ups and WhatsApp campaigns

Use ChatGPT or Claude with BaTimo to follow up leads, recall customers and run small consented WhatsApp campaigns, with the right safeguards.

Business goal

Follow up with leads and past customers on WhatsApp without manual copy-and-paste, while staying within consent rules and protecting your number.

What you need

  • An AI Connection with Management access.
  • A connected WhatsApp (QR code) channel on a plan that includes WhatsApp.
  • People who agreed to be contacted (BaTimo verifies customers who messaged you or have a booking; otherwise you must declare consent). See consent and anti-spam rules.

Use cases that work today

Use caseHow
Quote follow-upAI reads the lead and chat, sends one personal message with a goal ("book a consultation").
Appointment reminderAI schedules a message for the day before; BaTimo has no built-in timed reminders.
Check-up reminderA small batch for customers who agreed to reminders (for example a 6-month check-up they requested).
Post-visit follow-upA message the day after a visit to ask how it went, for customers who agreed.
Requested callbacksWeekly review of leads who asked for a call back; you approve the list; the AI schedules it.

Steps

  1. Connect the AI app and give it the standing brief from the campaign tutorials.
  2. Prepare data. Make sure leads have phone numbers (collect them with lead collection).
  3. Ask the AI to draft messages and the recipient list. Review them.
  4. Approve and schedule. Tell the AI the start time; it schedules the batch.
  5. Monitor. Ask the AI for the batch status; reply to customers in the Inbox.
  6. Learn. Note which messages get replies, and refine.

Customer journey

  1. The customer gets a short, personal WhatsApp message from your number.
  2. If they reply, your assistant continues, steering toward the goal you set (for example offering booking times).
  3. They book on your booking page, ask a question, or decline. Your team sees everything in the Inbox and Leads.

Tips

  • Keep batches small (25 at most, 50 per day for the company) and relevant; this is for service communication, not advertising.
  • Always include who you are and how to opt out, and honor opt-outs.
  • Use the assistant's handoff for sensitive replies. See Human handoff.

Limitations

  • Outbound messaging is available through MCP only, is text only and non-promotional, and uses the WhatsApp (QR code) channel. That channel is unofficial, so even within BaTimo's limits there is a risk that WhatsApp restricts the number.
