Send WhatsApp follow-ups with your AI

How your AI app sends one WhatsApp message or a small batch through BaTimo: allowed purposes, consent, opt-out, limits, scheduling, statuses and safety stops.

With an AI Connection, you can ask ChatGPT, Claude or another AI app to send individual WhatsApp messages or small, controlled batches, now or later. It is built for professional, non-promotional messages: appointment reminders, follow-ups a customer asked for, service notifications and order updates. It is not for advertising or mass messaging. BaTimo enforces the limits below itself; it does not rely on the AI to respect them.

You can only do this by asking your AI app. It is not available in the BaTimo Console or mobile app. Messages and customers' replies appear in your normal Inbox.

This is not risk-free. Messages go out through your WhatsApp (QR code) channel, which uses an unofficial connection method. BaTimo's limits reduce the risk, but they cannot guarantee that WhatsApp will not restrict or ban the number. Read consent and anti-spam rules first.

Requirements

  • An AI Connection with Management access, approved by someone with the Conversations permission.
  • An active WhatsApp (QR code) channel on a plan that includes WhatsApp. The WhatsApp Business channel is not used for these messages.
  • The phone linked to that channel must be connected when messages are due.

What you may send

Tell the AI the purpose of every message. Only these four are allowed:

PurposeUse for
Appointment reminderReminding a customer of a booking
Requested follow-upA follow-up the customer asked for (a quote, a callback)
Service notificationInformation about a service they use
Order updateStatus of an order they placed

There is no marketing or promotion purpose, and any other purpose is refused. BaTimo cannot read your intent, so you remain responsible for the content: do not send promotions.

BaTimo only accepts a recipient when one of these is true:

  1. The customer contacted you. The person messaged your business on WhatsApp in the last 90 days. BaTimo checks this itself.
  2. The customer has a booking. The person has a recent, non-cancelled BaTimo booking with that phone number. BaTimo checks this itself.
  3. You confirm they agreed. You tell the AI that they agreed and how and when, in at least 10 characters, for example "Ticked the reminder box on the booking form, 2026-10-01". BaTimo stores your statement with the message.

Anyone else is refused because consent is missing.

Opting out

  • BaTimo adds "Reply STOP to opt out." to every message that doesn't already say so.
  • When a person replies with only STOP (or UNSUBSCRIBE, OPT OUT, REMOVE ME, DO NOT CONTACT, or the same words in Turkish, Spanish, Arabic or Persian), BaTimo immediately records it and sends a short confirmation. It also skips any of their pending messages, stops the assistant from pursuing the follow-up, and refuses every future message to that number from any AI app. This works even when your plan limits are used up.
  • START (or SUBSCRIBE) from the same person removes the opt-out.
  • A message that only contains the word (for example "can you stop by at 5?") is a normal message, not an opt-out.

Protection against repeated messages

  • A number is not contacted again within 7 days.
  • At most 3 messages per number in 30 days.
  • The same number twice in one request is refused. Your AI app marks each request so that, if it has to retry, BaTimo doesn't send it twice.
  • Cancelled and failed messages don't count.

Limits

LimitValue
People per batch25
Time between peopleat least 4 minutes (you may ask for more, never less)
Per WhatsApp channelat most 15 per hour and 50 per day
Per company, all batchesat most 50 people per 24 hours, 150 per 7 days, 5 batches per 24 hours
How far ahead you can schedule30 days
Send and schedule requestsat most 10 per hour per company
Sending hours08:00 to 21:00 in your company's timezone
Message lengthabout 3,970 characters (text only)
Follow-up goal length2,000 characters
Retries when sending fails temporarilyup to 8, with longer waits each time

Times outside the sending hours move to the next 08:00. If a message is delayed past 21:00 (for example by the daily limit), it waits for the next morning.

What to tell the AI

For each message or batch, give the AI:

  • The message. It is sent exactly as written, plus the opt-out line. Text only: no images, buttons or templates. In a batch, each person can get their own message.
  • The purpose (one of the four above).
  • A goal (optional). A private note for your BaTimo assistant that the customer never sees, such as "Confirm attendance or help reschedule". When the customer replies, the assistant continues the chat with that goal in mind, and stops pursuing it if they aren't interested or opt out.
  • Who agreed and how, for anyone BaTimo can't verify itself.
  • When to send (now, or a date and time).
  • Phone numbers in international format, such as +90 555 123 4567. Spaces, dashes, dots and brackets are ignored, a leading + or 00 is accepted, and numbers need 8 to 15 digits with no letters.

Example request:

"Schedule reminders for tomorrow's appointments, to go out today at 17:00. Purpose: appointment reminder. Message: 'Hi Sara, a reminder of your appointment tomorrow at 10:00 at Bright Smile.' For Ali (+90 555 987 6543) use: 'Hi Ali, a reminder of your cleaning tomorrow at 11:30.' Sara is +90 555 123 4567. Both ticked the reminder box on our booking form. Goal: confirm attendance or help reschedule."

What happens after you ask

  1. BaTimo checks the request. It checks the purpose and your limits, refuses to schedule on a stopped channel, and checks each person for consent, opt-out and recent contact. People who don't pass are listed with the reason; the others continue.
  2. Messages are spread out. The first person gets the message at the start time, the next after the minimum gap, and so on, always within the sending hours.
  3. The batch is saved. The AI gets a confirmation of who was accepted and who was refused. If the AI isn't sure whether a request went through, ask it to check the batch before trying again.
  4. BaTimo checks again just before each message: that the person who approved the connection still has access, the number hasn't opted out, the repeat-contact rules and company limits still hold, and it is within the sending hours. If the number opted out or was contacted too recently, the message is skipped. Outside the sending hours or over the daily limit, it waits.
  5. Pacing. The channel's minimum gap and hourly and daily limits apply (hours and days are counted in UTC).
  6. Sending. The message goes out from your WhatsApp number and is saved in the conversation. A new conversation counts toward your conversation quota when it is created at send time.

Checking progress

Ask the AI "How is the batch going?". It reports whether the batch is scheduled, paused or cancelled, the totals, whether the channel was stopped, and the status of each person:

StatusMeaning
QueuedWaiting for its time
SubmittedWhatsApp accepted it; saving it to the conversation is finishing
SentSent and saved
FailedNot sent, for example because the number is not on WhatsApp
SkippedDeliberately not sent: the person opted out, was contacted recently, or reached the 30-day limit
CancelledCancelled before sending
UncertainBaTimo couldn't confirm whether it was sent. Check the conversation before sending again. BaTimo never resends by itself

Requests can also be refused because consent is missing, a phone number is invalid or appears twice, or a limit was reached.

Automatic safety stops

BaTimo stops sending on a WhatsApp channel by itself when:

  • three messages in a row fail or can't be confirmed;
  • half or more of the recent recipients are not on WhatsApp, which suggests a bad or unconsented list;
  • the WhatsApp connection ends: logged out, blocked or restricted by WhatsApp, or a broken session.

While stopped, nothing is sent on that channel, pending messages wait, and new batches are refused. The AI shows that the channel is stopped and why. To continue, the account owner should check the WhatsApp number and the recent failures, then ask the AI to resume and confirm the check was done. Pausing and cancelling always work.

Tips

  • Test with your own number first.
  • Keep messages short, personal and relevant. Never use them for advertising.
  • Tell the AI to ask you about consent and to show you the recipients and text before scheduling anything.

Troubleshooting

  • "No active WhatsApp Web channel found": connect a WhatsApp (QR code) channel. See Connect WhatsApp.
  • Consent missing: BaTimo couldn't verify the person. Confirm they agreed and tell the AI how and when.
  • Contacted recently, or 30-day limit reached: wait until the waiting time has passed.
  • "Daily outreach limit reached": the company or channel limit is used up. Try again after 24 hours.
  • Channel stopped: see Automatic safety stops above.
  • Messages not going out: the phone may be offline, the batch paused, or it is outside the sending hours.

Limitations

  • Not available in the Console or mobile app (only the resulting conversations are).
  • Text only, WhatsApp (QR code) channel only, no templates.
  • BaTimo cannot verify your consent statement or judge whether content is promotional.
  • The unofficial WhatsApp connection means these safeguards reduce, but cannot remove, the risk of restriction.
