Conversation quota: alerts, limits and restoring access

How conversation usage is counted, when BaTimo warns you, what happens when the quota reaches zero, and how to restore AI replies.

Your plan includes a monthly number of conversations that your AI assistant can handle. This page explains how they are counted, the warnings you receive, what happens when none are left, and how to get replies working again.

How conversations are counted

  • A conversation uses one unit of quota the first time it reaches your AI assistant. Later messages in the same conversation do not use more.
  • Fixed DM flows, Instagram comment replies and story-reply automations do not use AI conversation quota. If a conversation later hands off to AI, it uses one unit on its first AI turn, regardless of how it started.
  • Messages stopped by Message Guard do not use AI conversation quota.
  • A new conversation created by a WhatsApp outreach message uses quota when it is created at send time.
  • Your total is your plan's base quota plus any extra conversation add-ons. Quota periods last 30 days and renew with your subscription. Yearly plans still get a fresh monthly quota. See Plans, usage and billing.

Check your usage on Billing: Quota Usage (base, extra, total, used, remaining) and Next Reset.

Warnings before you run out

BaTimo alerts your company as your usage grows:

AlertWhenMessage idea
Quota Usage Warningat 80 percent usedUsage is high; consider upgrading
Quota Usage Criticalat 90 percent usedYou may experience service limitations
Quota Exceededwhen all conversations are usedUpgrade your plan or reduce usage

How you receive them:

  • Email, in-app notification and push notification.
  • They are company-wide (not per person) and are treated as essential, so they cannot be switched off in notification preferences.
  • To avoid repeats, each alert level is sent at most once per window: warnings about every 4 hours, critical alerts about hourly, and exceeded alerts about every 30 minutes while usage keeps changing.
  • Alerts are triggered when usage changes, so you see them during busy periods rather than on a fixed schedule.

What happens when the quota reaches zero

When no AI conversations remain:

  • No AI replies. AI processing pauses until quota is restored.
  • Incoming customer messages are saved in your Inbox, including messages from new customers, so your team can read and reply manually.
  • Enabled fixed automations continue: DM flows, story-reply automations and Instagram comment public replies/private DMs. Flow buttons and steps continue without AI.
  • A handoff from a flow to AI waits for quota. Fixed automation activity alone does not consume quota or make the later AI turn permanently free.

Account suspension is different: it blocks both AI and automations.

Leads that already exist stay available. Your data is not deleted.

How to restore access

Choose one:

  1. Add extra conversations (paid plans): Billing > Extra Quota > Add Extra. Blocks of 100 conversations. The quota updates once the payment is confirmed by the payment provider (usually within a minute).
  2. Upgrade your plan: Billing, choose a higher plan. On Free, upgrade to a paid plan.
  3. Wait for the reset: the quota renews at Next Reset.

Replies resume automatically as soon as quota is available again: when an extra-quota payment is confirmed, when you upgrade or renew, or when a new period starts. BaTimo clears its cached "blocked" state at that moment and also re-checks a blocked company every few seconds, so you do not need to change any settings. If the assistant still does not reply a few minutes after the payment is confirmed, contact support.

Tips

  • Turn on push notifications so warnings reach you quickly. See Notifications.
  • Move repeated questions into DM flows and comment automations; they do not use conversation quota.
  • Use Message Guard to keep spam from reaching the AI.

Troubleshooting

Limitations

  • Alerts cover your conversation quota at 80, 90 and 100 percent.
  • Other plan limits (channels, team members, automations) are enforced when you try to add more.
